Welcomemat's GTX Dashboard Self Serve: The How-To Guide

As part of our dedication to improvement, we've added new updates the Self Serve GTX dashboard. This guide walks through the features currently available in the Self Service Platform. Use it to get familiar with recent updates to campaign stats, campaign creation, audience and email template management, and the new contact reachability tools.

In this guide, you'll find:

  • How to view detailed performance stats for any campaign
  • How to edit a saved campaign without starting over
  • How to manage audiences and email templates, including deleting ones you no longer need
  • What the new contact reachability metrics mean and where to find them
  • A few important behaviors to keep in mind when canceling or deleting campaigns


1. Viewing Campaign Stats

1.1 Quick Actions on the Stats Page 

Every campaign listed on the Stats Page now includes a row of quick-action icons, so you can view performance, launch, edit, cancel, or delete a campaign right from the list — no need to open each one individually. 

1.2 Detailed Stats for Each Campaign

Click the stats icon on any campaign to open its dedicated Overview / Stats view. At the top, you'll see Total SMS Sent, Total Emails Sent, and Total Emails Opened. Below that, the Journey Messaging Details section breaks down delivered versus undelivered messages for both SMS and email.

2. Managing Campaigns

2.1 Edit Any Part of a Saved Campaign

You have two ways to make changes to a campaign:

  1. While building a campaign, move back to any earlier step — audience, template, or schedule — without losing your other work.
  2. Once a campaign is saved, open it and use the Edit button on the section you want to change: Campaign Information, Text Configuration, Email Configuratio, etc.

Either way, you can jump straight to the part that needs updating instead of rebuilding the whole campaign

2.2 Editing an Email Template from Within a Campaign

You can edit an email template directly while building a campaign. If the campaign hasn't been saved yet, a warning will let you know that any unsaved changes will be lost if you continue.

  • Cancel: Choose Cancel to return to the campaign and save your changes first.
  • Proceed: Choose Proceed to go directly to the template editor — any unsaved campaign changes will be lost.

2.3 Deleting a Scheduled Campaign

Scheduled campaigns can now be deleted directly within the platform using the cancel button. Deleting a scheduled campaign is the correct way to stop it from sending — see Section 4 for important details on how this works


3. Managing Audiences & Email Templates 

3.1 Deleting Audiences You No Longer Need

From the Audiences page, you can delete any audience you no longer need using the trash icon on its row. The Audiences table also includes two new columns — SMS Reachable and Email Reachable — so you can see reachability at a glance.

These same reachability figures also appear when you're selecting an audience during campaign creation, so you can confirm your reach before sending without leaving the flow. 

Good to Know: Deleting an Audience Used in a Scheduled Campaign

If you delete an audience that's still attached to a scheduled campaign, it isn't removed from that campaign. The audience keeps working for that scheduled campaign — it's simply hidden from your normal audience list.

3.2 Deleting Email Templates

On the Email Templates page, hover over any template card to reveal Edit and Delete buttons, so you can remove templates you no longer use.

Good to Know: Deleting a Template Used in a Scheduled Campaign

If you delete a template that's still attached to a scheduled campaign, it isn't removed from that campaign. The template keeps working for that scheduled campaign — it's simply hidden from your normal template list.

4. Important Things to Know

A few behaviors are easy to miss. Keep these in mind when testing, scheduling, or canceling campaigns.

Test Messages After Deleting a Campaign

If you delete a campaign while it's being tested, a test message may still arrive. This is expected — deleting the campaign doesn't always cancel a test message that's already in progress. 


Deleting a Scheduled Campaign Stops It From Launching

If you delete a campaign while it's scheduled (not being tested), it will not launch. This is the intended way to stop a scheduled campaign from sending. 


You Can't Cancel a Campaign That's Already in Progress

You can only cancel a campaign that's scheduled for the future. If a campaign's status shows "In Progress," it can no longer be canceled.

5. Quick Reference Summary & Definitions Guide 

  • Stats & Actions — Stats Page: new per-campaign action icons, plus a detailed Stats view with send totals and a delivered/undelivered chart.
  • Campaign Creation — Move back through any creation step, or edit a saved section (info, text, email) anytime. Edit templates inline, with an unsaved-changes warning. Delete scheduled campaigns to stop them from sending.
  • Audiences & Templates — Delete audiences and templates you no longer need. Reachability columns are visible on the Audiences page and during campaign creation. Deleted items keep working quietly for campaigns already scheduled with them.
  • Good to Know — Deleting during a test may still send a test message. Deleting a scheduled campaign stops it from launching. A campaign already in progress cannot be canceled

Unique Contacts The total number of contacts in the system. This doesn't require the contact to be opted in — it reflects everyone on file
Reachable SMS Contacts Contacts who are opted in and have a valid phone number on file
Reachable Email Contacts Contacts who are opted in, have not unsubscribed, and have a valid email address on file.

The Unique Contact Details table below these tiles lists the individual contacts behind the numbers — type, customer ID, name, email, phone, and marketing lead location — which is useful for spot-checking who's included in a given count.
